We use it to respond to your request, operate our services, maintain security and meet legal obligations. We retain information only for as long as necessary and limit access to authorised teams and service providers. You may request access, correction or deletion by contacting our privacy team.
What we collect
When you send a reservation request, event brief or contact message, we collect the details you enter, such as your name, contact information, organisation, dates, party size and preferences. Newsletter sign-up records your email and consent status. With your permission, we also record limited page and traffic-source analytics; we do not use this site analytics to build advertising profiles.
Why we use it
We use this information to route and answer enquiries, assess availability, prepare relevant options, manage subscriptions, secure and improve the website, keep an administrative record and comply with legal obligations. We do not use a submission for an unrelated purpose without an appropriate basis and notice.
Who may receive it
Information is available only to authorised SMHCC teams, the property or venue responsible for the request, and service providers that operate the website or support the requested service under appropriate safeguards. Information may also be disclosed when required by law. Any cross-border processing must follow approved contractual and security controls.
Retention and security
We retain information only for as long as necessary for the stated purpose, an approved records schedule or a legal requirement, then securely delete or anonymise it. Access is restricted, administrative changes are logged, and reasonable organisational and technical safeguards are maintained. No online service can promise absolute security.
Your rights
Subject to applicable law, you may ask to be informed about processing, access or correct your personal information, object to or withdraw consent for consent-based processing, request deletion or blocking, and exercise other data-subject rights.
